Full-Time House Manager/Personal Assistant: $60-80K and Benefits

Lookout Mountain, GA Full Time

A busy family located on Lookout Mountain, Georgia is seeking an experienced and detail oriented full-time house manager/personal assistant to support them and manage their 7,000 square foot residence. Typical schedule is on Monday – Friday at approximately 9:00am-7:00pm, guaranteed 45-50+ hours per week. Flexibility is required to work occasional evenings and weekends when family has events, meetings are scheduled with principal(s), etc. Extreme flexibility with scheduling is required for the position. House Manager/Personal Assistant is responsible for overseeing the general operation of the main residence, managing domestic staff in an environment where everyone is given clear expectations and loves coming to work daily, collaborative to work directly with domestic staff and office staff on a daily basis (5-6 domestic employees), comfortable with pets, assertive, proactive, resourceful, self starter, organized, service focused, kind, professional, respectful, capable of maintaining discretion (confidentiality agreement is required) and willing to work in an extremely hands on position. The ideal candidate for this role is an organized, flexible and service oriented individual willing to become an extension of the family with the innate drive to meet and exceed all household and family needs. Each day varies based on the needs of the family, and it is imperative that the individual can work in a fast-paced environment where there are often many competing priorities and pressing deadlines. The family has two school aged children. Start date is ASAP, but flexible for the right candidate.

RESPONSIBILITIES:

• Managing all aspects and care of the home, including assisting housekeeper in deep cleaning and organizational projects

• Supervising housekeeper to ensure detailed and thorough cleaning that meet and exceed the principals’ expectations

• Removing trash for pick up, and management of recycling which includes weekly visits to city services

• Managing inventory and upkeep of pantry and refrigerator, ensuring proper disposal of outdated food and regular wiping of shelves

• Regular grocery shopping, with special attention to products and family preferences

• Maintaining proper care and upkeep for pool (e.g., working with pool company to schedule any repairs to pool, pump room maintenance, electrical, etc.), spa and patio furniture including: regularly testing spa water, leaf raking the pool, covering/uncovering of furniture and storage of outdoor cushions

• Keeping all outdoor plants watered daily, and maintaining vegetable and herb garden as necessary

• Supervising yard maintenance with detailed record keeping of seasonal check lists including: patio concrete cleaning/sealing, gutter cleaning, dehumidifier system cleaning, irrigation system and much more

• Vendor management (e.g., lawn company, pool company, HVAC, irrigation system, window washing, gutter cleaning, exterminator, etc.) and scheduling/supervising of all repairs and maintenance

• Sourcing solid, reputable, trustworthy workmen and contractors for an repairs and regular maintenance (all household projects should receive three separate bids/estimates to choose from)

• Act as the family’s liaison between contractors/subcontractors while overseeing construction/remodeling projects

• Maintaining file systems including those for household operations, warranty manuals, household equipment, invitations, entertainment logs, etc.

• Changing air filters and checking all light bulbs

• Assisting principals with both personal and household purchases

• Preparing the guest quarters for visitors including freshly starched linens, flowers and fresh towel service

• Purchasing and wrapping of all personal gifts for family and friends (extremely large focus during holiday season)

• Managing annual holiday card mailing and holiday decorating

• Arranging of all returns for items that are ordered and need to be shipped back, with follow up on credit card to ensure correct credit or refund

• Picking up prescriptions, dry cleaning and other personal errands for the family

• Management over all vehicle maintenance and repair, insurance updates, registration and keep accurate records of services complete (vehicles, boat, ATV, scooter, etc.)

• Tracking and cataloging all donation items and receipts • Pet care including grooming and vet appointments, food and prescription inventory

• Daily walk through of exterior and interior of residence to ensure all systems are operating properly

• Inventory checklists (e.g., household items, cleaning supplies, food, beverages, etc.)

• Maintain comprehensive household manuals setting priorities for tasks on daily, weekly, monthly, quarterly and annual basis

• Maintain file systems including those for household operations, warranty manuals, household equipment, invitations, entertainment logs, etc.

• Maintain contacts lists that include family members, vendors, contacts, businesses, etc.

• Managing domestic staff and supervising the quality of their performance (full-time executive assistant, full-time housekeeper, (2) part-time nannies)

• Coordinate staff schedules to ensure adequate coverage at all times based on family’s needs

• Assist domestic staff with projects when necessary (e.g., creating a collaborative/team environment)

• Ensure pantry, refrigerator and wine cellar are properly stocked in accordance with the principals’ and children’s travel and entertaining schedules

• Maintain security system at residence and check/test on a regular basis

• Provide hospitality and attend to guest and family’s needs when visiting

• Pay household bills and invoices

• Manage household petty cash and proper documentation and submission of house credit card purchases/receipts

• Schedule meetings with principal(s) as needed to discuss their schedule, travel plans, upcoming events, special projects, etc.

QUALIFICATIONS:

• Ability to travel domestically whenever necessary

• Highly organized, detail oriented, proactive, excellent time management, efficient and service focused

• Attentive to principals’ preferences and style (intuitive to their needs)

• Ability to maintain discretion (confidentiality agreement is required)

• Ability to be discreet with respect for employer’s privacy

• Professional presentation of self and great personality

• Strong organizational ability to present projects, budgets, lists, bids, etc. to principals through use of Excel spreadsheets and other programs

• Ability to develop and maintain solid working relationships with service providers, contractors and vendors

• Ability to easily take direction

• Strong ability to communicate and collaborate efficiently with principals, household staff and office staff

• Strong technology skills and experience working with Macintosh

• Seeking longevity/long term commitment (e.g., 5+ years)

• Positive attitude and ability to handle residence and staff with ease and calm demeanor

REQUIREMENTS:

• Bachelor’s degree

• 2-5+ years of consistent and recent domestic experience as a full-time house manager and/or personal assistant

• 3-4 references from professional positions

• Ability to complete extensive background checks, drug tests, etc.

• Safe vehicle for transportation and clean driving record

• $60-80K gross annual salary (based on experience and qualifications)
